Meeting Notes - St. Bernadette Journey in Faith & Grace Committee Meeting

Re:    Initial planning meeting

 

The purpose of this evening’s meeting was to launch the Parish strategic planning initiative as prescribed by the Diocese of Buffalo Journey in Faith in Grace program.

 

Notes:

 

1. Sister Jeanne provided background and updates based on preliminary interaction with our Cluster group as part of the West Erie Vicariate. 

 

a. Individual parishes were encouraged to develop their own methodology for ultimately providing input at the Cluster level. 

b. Parish Committee Objectives:

        Execute stated goals of the committee – Prayer for guidance, education of parishioners and the development of a parish profile (via SWOT: strengths, opportunities, weaknesses and threats) to be presented at the Cluster meetings beginning in March, 2006.

        Provide representation to the Cluster meeting to assist in developing a proposal to the Vicariate Council beginning in August, 2006.

c. Cluster meeting representation would include an Ordained with 2 lay parishioners.

d. Initially, the committee’s work would not include the school as a separate group initiative was currently in process.  Ultimately the two would need to be merged before a final parish profile was developed. 

 

2. Developed process as follows:

   a. Step 1:  Begin parish prayer for successful Journey in Faith and Grace - 1/  8/06

   b. Step 2:  Bulletin inserts and announcement re: initiative - 1/22/06

   c. Step 3:  Present at all masses future state of Parish in year 2015  and complete open-ended questions - 1/29/06

   d. Step 4:  Town meeting (2pm) to present findings and discuss - 2/12/06

   e. Step 5:  Committee process/discern data and develop SWOT - 2/21/06

   f.  Step 6:  Prepare Parish Profile to be presented at Cluster meeting -  2/28/06

 

3. Miscellaneous:

   a. Bob and Ralph volunteered to be co-chairs.

 

Action Items:

 

1. Ralph to summarize notes from meeting

2. Bob to prepare agenda for next meeting scheduled for Thursday, 1/5/06, 7pm in Religious Education Office.

3. Lynda to create web page for presenting committee meeting notes to be shared with Parish.

2 Notes from meeting of January 5

 

· Timeline was modified.  Presentation to parishioners will be made at all Masses on Sunday, January 15, with questionnaires to be returned by a variety of ways by January 29.  This will provide parishioners, and any other interested persons, sufficient time to reflect on the questions before submitting the responses.  Ann agreed to format the presentation along the lines of the introduction she prepared.  Anne agreed to prepare the questionnaire.  The committee will have two weeks to analyze the data in time for the Town Hall Meeting on February 12.

· An announcement will be read by the celebrant at all Masses on January 8 introducing the discernment process and the prayer.  Lynda also asked for some volunteers on Sat, Jan 8 at 11:30 am to help insert the prayer in the missals.  Also, some information items will be placed in the bulletin from time to time that relate to the Journey in Faith and Grace Process.

· Sister Jeanne mentioned that our Vicariate will be meeting toward the end of this month and she will report back on any new insights.

 

3.   Discussion of Presentation on January 15.

 

· Review “draft” presentation.

· Assign speakers for all Masses

· Talk about any other details, such as printing and placement of questionnaires, etc

 

4. How do we want to handle the returned questionnaires?  On a flow basis?

4.  Notes from meeting of January 10

 

· Attendance:  Fr. Nugent, Sister Jeanne, Ann, Anne, Ralph, Jay, Lynda, and Bob

· Reviewed “drafts” of the presentation for Sunday, January 15 and the questionnaire.  Ann will speak at the 5:00 pm Mass on Sat, Anne at the 7:30; Bob at the 9; Ralph at 10:30; and Jay at the Noon Mass.  The presentations will be made after the homily and the questionnaire will be distributed by the ushers before the dismissal.  Copies of the questionnaire will also be available at the doors of the Church for the following two weeks.  A reminder will be made at all of the Mass the following two Sundays and be included in the bulletin.

· We reviewed the checklist for a vibrant parish (page 26), and the one for a vibrant school (page 29).

· Fr. Nugent and Sister Jeanne will attend a cluster meeting for our Vicariate on January 27, and will give feedback to the committee.

· The meeting on February 12 will be referred to as a General Parish Meeting.

3.   The objective of this meeting will be to review the questionnaires returned to date, and discuss how we want to analyze the data.

Re:    Survey assessment plan

 

The purpose of this evening’s meeting was to review the surveys returned to date and to discuss analysis procedures.

 

Notes:

 

1. Attendance:  Sister Jeanne, Ann, Anne, Jay, Lynda, Nancy, Ron, Bob and Ralph

2. Discussed process and analysis tools.  Agreed to process as per attached file.

3. Decided that for this the final weekend  (1/28 & 1/29) of survey submission, surveys will be placed in the pews to provide ample opportunity for parishioners to receive a survey to complete.  Additional copies will also be available at the Church entrances.

4. Agreed that committee will accept “late” survey submissions up to final processing.

5. NEXT MEETING:  Monday, 2/6. 6:30pm in Religious Ed Office

a. Purpose will be to assess survey results and to develop presentation for 2/12 Parish meeting.

b. Note: an additional meeting may be required pending more time necessary to complete presentation.  To be determined on 2/6.

 

 

Action Items:

 

1. Ralph to summarize notes from meeting.

2. Ron to develop invitation to 2/ 12 Parish meeting to be inserted in the Parish bulletin the weekend of 2/4 –2/5. 

3. Ron to submit draft to Lynda for processing.

4. Anne will provide assistance from Religious Ed volunteers to help “stuff” invitation insert.

5. Sister Jeanne will coordinate putting the invitation on the Church outside sign.

6. Ann will remind Father Nugent to prepare his comments to be read in his absence at the Parish meeting on 2/12.

7. Committee to begin coding and processing surveys to be completed by next meeting scheduled for 2/6, 6:30pm.
